Worked example · Quote approval
A quote draft from your price sheet. Approval stays with you.
An outgoing quote starts with a customer's request, not an order to enter. Work through proposed lines, exact product prices and the decisions that stay with the salesperson.
Start with the request and the agreed sheet
Copying a request into a quote is straightforward until a product code is unfamiliar, a quantity is unclear or the customer asks for a different price. A useful draft keeps those questions visible beside the information the salesperson needs to resolve them.
- The request
- Customer details, requested product codes and quantities, plus any pricing question. A request for a discount is a question for the salesperson, not an instruction to change a price.
- The price sheet
- The agreed product code, description, selling unit and unit price. A pack and an individual item are different units; the reviewer needs that context before confirming quantities.

Propose a quote draft
Show pre-written candidate products and quantities from the sample request. Only products on the agreed sheet get a price. The checks run automatically; final approval stays with you.
Choose a sample request, then show its proposed quote.
See where a draft needs a person
- Routine request
- Each requested product exists on the sheet and its quantity is clear. The checks can prepare a complete draft, but passing them never approves it. You still choose approval or rejection.
- Unknown product
- The requested code is absent from the sheet. Its unit price and the quote total stay unresolved. A salesperson can clarify and correct the product code or reject the draft; a similar name is not permission to invent a price.
- Unclear quantity
- The request offers two possible quantities. The candidate quantity stays blank, so a person must clarify the count and enter a confirmed whole number. The example does not average the alternatives or silently choose one.
- Discount requested
- The customer asks for a discount. That request is not an agreed price. You explicitly grant or decline it, inspect the resulting total, and then make a separate decision to approve the quote.
A discount decision and quote approval are separate
The sample uses the agreed sheet for each known product. If you grant the requested discount, it is applied once to the product subtotal and rounded to the nearest cent, with half cents rounded up. Declining it leaves the sheet prices in place. Neither choice approves the quote.
Final approval creates a local quote with the reviewed lines, totals and your corrections. The original request and simulated proposal remain inspectable. Reopening the draft clears approval; changing a line also clears any earlier discount decision, so the revised quote needs another review.
You can reject the draft instead. Nothing is delivered to a customer in either case. Reset restores the starting sample request.
What this example leaves for your quoting process
- The sample uses invented goods prices, not ClearSummit service prices. Totals exclude tax, shipping and other charges.
- The agreed sheet is fixed. Customer-specific contracts, unusual prices, negotiated terms and who has authority to grant a discount need their own rules and owners.
- Product lookup does not check stock, delivery availability or whether the requested product meets the customer's requirements.
- There is no document upload, live extraction, email, customer-system connection or saved quote history. The example stays in this page's local state.
For the incoming side of the workflow, the purchase-order intake example checks an order before creating a local order record. This quote example prepares an outgoing proposal for a salesperson's decision.
